What we collect
We collect the information you choose to provide, which may include your name, organization, email address, inquiry type, message, material, specification, volume, origin or destination jurisdiction, and acknowledgments.
Our hosting providers may also process standard technical logs such as IP address, browser or device information, referring page, and submission time. Please do not submit sensitive personal information unless we specifically request it through an appropriate channel.
Why we use it
- To receive, assess, and respond to inquiries.
- To evaluate prospective commercial, governmental, investment, supply, or off-take relationships.
- To conduct appropriate diligence, compliance, sanctions, security, and conflict checks.
- To operate, secure, and improve the websites and maintain business records.
- To establish, exercise, or defend legal rights and comply with law.
Legal bases
Where UK or European data-protection law applies, we process information as necessary to take steps at your request before a potential contract; for legitimate interests in evaluating and administering business relationships, protecting our systems, and maintaining records; to comply with legal obligations; and, where required, with consent.
Submission is voluntary, but we cannot respond if required contact fields are not provided.
Who receives it
Information may be shared within the Polemos Holdings group and with service providers that support hosting, form processing, email, security, professional advice, and diligence—including Netlify and Microsoft 365—only as needed for those functions. We may also disclose information to authorities or other parties when required by law or necessary to protect legal rights.
We do not sell personal information or use website inquiries for targeted advertising.
International processing
The group operates in the United States, so information submitted from another country may be processed in the United States. Where a transfer mechanism is legally required, the responsible company will rely on an applicable safeguard or other lawful transfer basis.
How long we keep it
We retain information only as long as reasonably necessary for the inquiry or relationship, related diligence and compliance, recordkeeping, dispute resolution, security, and legal obligations. The period depends on the nature of the submission and whether a business relationship follows.
Your choices and rights
You may ask us to correct or delete information or to stop further contact. Where applicable law provides additional rights, you may also request access, restriction, portability, or object to processing based on legitimate interests; where processing relies on consent, you may withdraw it.
Contact us at dennis@polemarchoi.com. We may need to verify your identity. You may also complain to the supervisory authority where you live or work, including the UK Information Commissioner’s Office where relevant.
Security and updates
We use reasonable administrative, technical, and organizational measures intended to protect information. No internet transmission or storage system is completely secure. We may update this notice as the sites, providers, or legal requirements change; the date below identifies the current version.
